The Sales Coordinator will provide comprehensive back-office support to the Sales and Marketing team, ensuring smooth execution of all sales-related processes, documentation, and customer coordination for Key Account Customers. The role involves coordination across departments including Finance, Logistics, and Supply Chain, while maintaining compliance with company policies and standards.
Provide proactive and efficient sales and marketing support to the sales team handling major Key Account Customers.
Ensure proper execution of all sales processes in line with company SOPs, using Sales Force CRM and Microsoft D365.
Follow up with customers for payments and prepare Statements of Account (SOA).
Update stock inventory, prepare stock requests, and manage pricing catalogues and product documents.
Prepare quotations in standard formats and upload on client portals when required.
Coordinate with suppliers and principals to ensure accurate and timely information flow.
Process Sales Orders, Purchase Orders, and Trade Finance Documents (LCs, Bank Guarantees, etc.).
Review and understand customer purchase orders, sales contracts, and ensure compliance with company terms and INCOTERMS.
Support insurance and warranty-related documentation in coordination with the Admin team.
Maintain accurate records of all key customer interactions and ensure full customer retention through proactive engagement.
Understand company products, technical specifications, and customer RFQs for accurate quotation and compliance preparation.
Work closely with Finance, Credit Control, Logistics, and Supply Chain teams to ensure seamless order-to-delivery processes.
Archive all incoming and outgoing sales documents and consolidate reports for the Unit Head.
Prepare presentations and sales reports using MS Office and related tools.
Support sales team activities in their absence and ensure all deliverables meet defined timelines.
Suggest process improvements and ensure compliance with ISO standards in coordination with the ISO Management Representative.
Bachelor degree
Strong organizational and coordination skills.
Proficiency in MS Office, CRM platforms (Salesforce), and ERP systems (D365).
Knowledge of INCOTERMS, trade finance documents, and international payment terms.
Excellent communication and interpersonal abilities.
